- Manage and track document revisions, change requests, and version control to avoid errors and discrepancies in project documentation.
- Provide guidance and support to project teams on proper document formatting, standards compliance, and quality control.
- Coordinate with external vendors, subcontractors, and partners to ensure alignment with document control processes and standards.
- Bachelor's degree in a relevant field such as business administration, engineering, or information management.
- Certification in document control or records management is advantageous.
- Prior experience in a similar role with a focus on using Aconex software for document control.
- Proven experience working as a Document Control Manager, preferably with specific experience using Aconex software.
- In-depth understanding of document control processes and best practices.
- Strong knowledge of document management systems, including electronic document management software.

Context
We are looking for a PMIS/Document Control Manager to lead and manage the implementation, integration, and operation of Project Management Information Systems (PMIS) and Document Control functions for major rail projects within Saudi Arabia. You will ensure best practices in document management, collaborative workflows, data integrity, and regulatory compliance across all project phases.
Missions/Main Duties:
PMIS Management:
- Implement, configure, and optimise PMIS for multi-disciplinary rail projects.
- Oversee data migration, system integration, and user acceptance testing.
- Train internal and external stakeholders on effective use of PMIS platforms.
Document Control:
- Develop, implement, and enforce document control policies, procedures, and workflows in accordance with company and client requirements.
- Ensure document numbering, archiving, approval, and distribution standards are strictly followed.
- Oversee the management of controlled documents (drawings, reports, correspondences, contracts) to ensure timely, secure, and accurate delivery.
Leadership & Team Management:
- Lead and mentor a team of document controllers and PMIS administrators.
- Collaborate with Engineering, Construction, Quality, and Compliance teams to streamline information management processes.
- Conduct regular audits to assure system integrity and continuous improvement.
- Interface with client representatives, JV partners, and subcontractors for document and data management requirements.
- Generate dashboard reports and KPI analytics for senior management and stakeholders.
- Manage the control and distribution of project documentation for regulatory and contractual compliance.
- Identify improvement areas in document control and PMIS workflows.
- Deploy innovative solutions and digitisation initiatives to enhance operational efficiency.
Profile/Skills
- Bachelor’s degree in Engineering, Information Management, Project Management, or a related technical field.
- Minimum 15 years’ experience in document control and information management within the rail, transit, or major infrastructure sector.
- Demonstrated expertise in leading PMIS (e.g., Aconex, Bentley eB, Primavera Unifier, Asite, or similar platforms).
- Familiarity with industry standards and regulations (BS/ISO 19650, CDE principles, etc.).
- Significant experience within a PMO on large-scale or multi-package rail projects.
- Strong leadership, communication, and team management skills.
- Middle East experience is a must

About The Role
The Information Governance Senior Analyst is an integral part of Latham’s Information Governance (IG) team. Reporting into the Director of Administration - Middle East & North Africa, this role will be responsible for coordinating all primary functions of the IG Operations team, including file management (both physical and electronic), file intake, file releases, destruction requests, data access requests, case room management, and records retention , while i dentifying opportunities to enhance the Information Governance program by utilising a thorough understanding of information management, security, and privacy principles. This role will be located in Latham’s Regional Headquarters in Riyadh.
Responsibilities & Qualifications
Other key responsibilities include:
- Identifying opportunities to enhance the IG programme by utilising a thorough understanding of information management, security, and privacy principles
- Consulting firm personnel on the appropriate locations where data should be stored, acting as a resource regarding various information governance questions for staff, lawyers, and other users, and providing instruction and training as needed
- Coordinating and performing all aspects of information governance processes, including file intakes, releases, destructions, and data access procedures for the office, ensuring compliance with firm policies and completion of the relevant process
- Coordinating the execution of and ensuring compliance with records retention procedures, ascertaining which files are subject to retention, and maintaining meticulous records regarding file disposition
- Organising boxes, following off-site storage procedures, and preparing files both physically and within the records management system and other databases
- Possess extensive knowledge of information governance, data security and privacy principles, best practices, and procedures
- Display excellent communication skills
- Demonstrate thorough knowledge of the physical and electronic resources of the department and firm, and the ability to articulate the role of effective space management in the overall administration of the office
- Relevant Information Governance or Records experience, preferably in a law firm Information Governance or Records Department
- Experience in other law firm positions having significant document organisational responsibilities may be considered in lieu of directly related Information Governance or Records experience
