Job Description

Duties and Responsibilities

As Receiving Clerk, I will assume full responsibility for the efficient operation in the following:

  • React to all daily operating problems and complaints rose and to offer solutions.
  • Work together with Storeroom Host to ensure that all incoming merchandise is dated, priced, and rotated in all circumstances.
  • Check all incoming goods against delivery orders and invoices, food specifications and purchase records to ensure that the type, amount, price and quality of items charged and ordered are correct and maintain safe, sanitary and organized storage of all items.
  • Issue, store, price and rotate all incoming goods for the resort and maintain a good balance between par levels of inventory items and on hand quantities in accordance to business needs.
  • Ensure Store Requisitions are approved by authorized persons and acknowledged by recipients.
  • Inspect food quality at receiving. Anything questionable must be approved by the Executive Chef or their delegate or the Purchasing Manager.
  • Accept delivery of engineering, retail, spa and flowers and other specialty items and contact originating department for verification and inspection of goods.
  • Maintain the highest level of business integrity in dealing with vendors and delivery persons.
  • Upkeep Six Senses guidelines and standards of service and operation. My performance benchmarks are maintained and exceeded.
    Strictly adhere to LQA standards and guest comments.

Qualifications

To execute the position of Receiving Clerk, I must have the required qualifications, technical skills and experience in a similar role in luxury hotels with proven results and includes the following:

  • High school diploma or equivalent in Finance/Purchasing and Supply and at least 1 year experience in a similar setting. Hospitality diploma/degree from a recognized hospitality school is preferred.
  • Technical skills include advanced MS Office, Outlook platforms and Materials Control (MC).
  • Fluent in English.

Job Description

A Receiving Clerk will manage the goods and deliveries moving in and out of the hotel and will ensure that these deliveries reach the appropriate destinations and logged according to the company's purchasing and procurement standards.
**What will I be doing?**
As Receiving Clerk, you will accept and control all incoming deliveries, maintaining an optimal goods inventory, correct storage and issue of goods. Specifically, you will be responsible for performing the following tasks to the highest standards:
+ Acceptance and close control of all incoming goods in respect of volume and quantity
+ Enter all internal goods movements into the computer system daily
+ Carry out monthly inventories with Controlling
+ Responsible for acceptance and rough checks on all items entering the hotel by volume and quality
+ Issue immediate complaints
+ Ensure that all articles reach their place of destination immediately
+ Ensure orderly acceptance and passing on of events material and its return from the ramp
+ Loan and empties return from the warehouse carried out independently
+ Ensure tidiness and cleanliness in area of responsibility

Key Responsibilities:

  • Receiving & Verification
  • Receive all F&B and non-F&B deliveries (food, beverages, disposables, OS&E, etc.).
  • Check quantity, weight, and quality against Purchase Orders (POs), Delivery Notes (DNs), and Invoices.
  • Verify expiry dates, production dates, batch numbers, and product integrity.
  • Reject damaged, expired, or non-conforming items in coordination with Procurement and Cost Control.
  • Documentation & Recording
  • Record all deliveries in receiving log and MC system.
  • Stamp, sign, and date all invoices and delivery notes upon receiving.
  • Ensure three-way match process: PO, Receiving, Invoice.
  • Forward documents same day to Finance/Accounts Payable.
  • Coordination & Communication
  • Coordinate with Procurement on shortages, substitutions, or price discrepancies.
  • Liaise with Storekeepers/Chefs on urgent receiving and immediate transfer to kitchen/store.
  • Report discrepancies or variances (price, quantity, quality) daily to Cost Control.
  • Compliance & Standards
  • Ensure all deliveries comply with HACCP and food safety standards.
  • Maintain receiving area cleanliness, organization, and pest-free condition.
  • Ensure temperature checks for chilled and frozen items are recorded.
  • Follow company policies on handling supplier credits, returns, and replacements.

Requirements & Qualifications:

  • High school diploma or diploma in hospitality
  • Minimum 2 years experience in F&B receiving role (restaurant, hotel, catering, or CPU).
  • Basic knowledge of food safety, HACCP, and hygiene standards.
  • Familiarity with Material Control systems or inventory software (Micros, Oracle, SAP, etc.).
  • Strong attention to detail and ability to detect discrepancies.
  • Basic math and documentation skills.
  • Physically fit to handle lifting and moving deliveries.
  • Good communication skills (Arabic & English).
