The ideal candidate will develop IP strategies, ensure compliance with international IP laws, and lead initiatives that strengthen the company's IP assets globally.
Key Responsibilities
• Lead the development and execution of IP strategies to protect trademarks, patents, copyrights, and trade secrets.
• Manage the IP portfolio, ensuring timely filings, renewals, and protection of all IP assets.
• Identify and address IP infringements, working closely with external legal counsel and enforcement agencies.
• Oversee IP-related disputes, including arbitration, mediation, and litigation.
• Develop and implement training programs to raise awareness of IP compliance among internal teams and partners.
• Conduct IP risk assessments and establish best practices for IP management and monitoring.
• Draft, negotiate, and review IP-related agreements, including licensing and confidentiality contracts.
• Collaborate with internal departments and external partners to ensure proper IP usage and brand protection.
• Build relationships with IP authorities and law firms in key jurisdictions to enhance global IP protection.
• Provide strategic guidance to senior management on IP risks, opportunities, and market developments.
Qualifications
• Bachelor's degree in Law, Intellectual Property, or a related field (Master's preferred).
• Minimum of 7 years' experience in IP management, preferably in multinational or consumer-focused organizations.
• Strong knowledge of local and international IP laws, enforcement procedures, and best practices.
• Proven experience in handling trademarks, patents, and copyright portfolios.
• Excellent communication, negotiation, and analytical skills.
• Proficiency in managing IP management systems and working with external legal partners.

Role Summary
We are looking for a detail oriented and organized
IP Administrator
to join our IP Support Services team in KSA.
The role involves managing Trade Mark and Patent application filings and other intellectual property (IP) submissions through the KSA Patent and Trade Mark Office's online platform. The ideal candidate will have experience in Trade Mark and patent application prosecution, renewals, annuities, recordals, oppositions, and other related IP filings, ensuring compliance with KSA laws and regulations.
What Will You Do?
1- Filing and managing IP Rights on Ministerial online systems:
- Prepare and submit Trade Mark and Patent applications, renewals, annuities, assignments, amendments, and recordals through Ministerial online systems;
- Monitor the status of filings and ensure timely communication of deadlines for responses to official actions and oppositions to persons in charge;
- Track and report upcoming deadlines and follow up on required actions;
- Help maintain and update IP portfolios, ensuring accurate records of filings, renewals, deadlines, and registrations;
- Help conduct Trade Mark availability searches;
- Coordinate with the rest of the CWB team to facilitate Trade Mark and other IP filings; and
- Help manage IP case files and formalities.
2- Docketing and Data Entry:
- Manage and maintain docketing systems, ensuring all deadlines and actions related to Trade Marks, Patents, and other IP rights matters are tracked accurately and persons in charge are informed;
- Input, update, and maintain IP data in internal databases and systems; and
- Assist in generating reports from the system when required.
3- Courier and Document Handling:
- Manage receipt and dispatch of documentation related to IP registrations, assignments, licenses, and other recordals;
- Coordinate with the CWB team on the delivery and receipt of documents to and from agents and clients; and
- Track all sent and received documents to ensure timely and secure delivery, while keeping the relevant colleagues appraised.
4- Communication:
- Liaise with the Ministry's IP Department, and help the Head of Office in ensuring compliance with local regulations and procedural updates; and
- Communicate and help the Head of Office to ensure all filings comply with local laws, official regulations, and official guidelines.
5- Expense Booking on ERP (D365):
- Help record and manage expenses related to assigned tasks using D365 accounting software.
6- Office Errands:
- Handle office-based administrative tasks; and
- Perform tasks outside the office, such as delivering documents to government offices or embassies.
7- Document Archiving:
- Maintain organized physical and digital files for all IP matters; and
- Archive documents securely while ensuring easy retrieval when needed.
What Are We Looking For?
- Diploma or Bachelor's degree in Business Administration, or a related field;
- 2+ years of experience in an administrative role in an IP setting;
- Previous experience working with the Ministry's online systems for IP filings and recordals is highly advantageous;
- Fluent in written and spoken English and Arabic;
- Proficiency in Microsoft Office is required;
- Experience with IP Management Software is an advantage;
- Strong organizational and multitasking skills with the ability to perform well under pressure;
- Attention to detail and accuracy in data entry and document handling.

Legal Compliance:
Ensure compliance with local, regional, and international laws and regulations relevant to the esports industry
Stay abreast of legal developments and changes that may impact the organization's operations
Contract Negotiations:
Draft, review, and negotiate a variety of contracts, including sponsorship agreements, licensing agreements, player contracts, and other legal documents
Collaborate with internal stakeholders to ensure contracts align with business objectives and legal requirements
Intellectual Property Management:
Develop and implement strategies for protecting the organization's intellectual property, including trademarks, copyrights, and trade secrets.
Conduct intellectual property searches and assessments to ensure compliance and avoid infringement
Manage and resolve legal disputes, including litigation if necessary

Knowledge, Skills, and AbilitiesIn-depth knowledge of internationally most common legal frameworks and regulatory requirements, Saudi Arabian frameworks and regulatory requirements is nice to have
Strong understanding of international intellectual property laws, contracts, and regulatory compliance
Experience in managing external law firms
Excellent negotiation and communication skills
Demonstrated ability to provide strategic legal counsel and risk management guidance
Ability to work independently and collaboratively in a dynamic and fast-paced environment
