Role Overview
We’re looking for a dynamic and creative Events Specialist to be responsible for planning, coordinating, and executing a wide range of events to support Calo’s business objectives in Saudi.
Main Responsibilities
Event Planning and Coordination
- Plan and organize a variety of offline events, including but not limited to product launches, sports events, entertainment events, health fairs, workshops, and community events
- Develop detailed event plans, including budgets, timelines, and logistics with the ability to execute these plans effectively and ensure smooth event execution
- Identify, negotiate with, and manage relationships with vendors, venues, and other event partners
- Coordinating with internal stakeholders, including operations, supply chain, finance, design team, and marketing
- Plan and create events booths with external agencies to deliver suitable promotional booth at events under Calo’s guidelines
- Create marketing materials for events, including flyers, posters, activations and needed merch
- Oversee all logistical aspects of events, including venue setup, audio-visual equipment, catering, and access pass
- Ensure all necessary permits and insurance are obtained for events
- Ensure meals and snacks are delivered and placed in the events according to food safety and quality procedures
- Develop and execute activities that engage and educate attendees about our healthy meal plans
- Collect and analyze attendees and Calo Team feedback to improve future events
- Conduct post-event evaluations to assess the success of events and identify areas of improvement
- Prepare detailed reports on event outcomes, including attendance, engagement, and overall effectiveness
Qualifications
- Bachelor’s degree in Event Management, Marketing, Communications, or a related field
- 2+ years of proven experience in event planning, coordination, and execution
- Strong project management skills, including the ability to multitask and meet deadlines
- Exceptional communication and writing skills in both English and Arabic
- Detail-oriented with a strong focus on quality and accuracy
- Ability to adapt to changing circumstances and work well under pressure. You remain calm and collected under pressure despite tight deadlines and conflicting priorities
- Creative thinking and problem-solving abilities
- Flexibility to work evenings, weekends, and travel as required by events, with the ability to work ad-hoc as needed to support event schedules and changes
- Strong communicator
- Excellent interpersonal skills
- Collaborative team player who also can work independently and take initiative
