Job Description

Job Purpose

The Material Dispatcher is responsible for coordinating the movement of raw materials, packaging, and finished goods within the Warehouse. This role ensures timely and accurate dispatching of materials to support production, customer deliveries, and overall warehouse efficiency in line with Sika's standards.

Key Responsibilities

• Coordinate daily material dispatch activities in line with production and delivery schedules.
• Ensure accurate picking, packing, and staging of materials for internal use and customer shipments.
• Prepare and verify dispatch documents (delivery notes, invoices, shipping lists) in compliance with company policies.
• Monitor stock movements and collaborate with the warehouse team to avoid shortages or delays.
• Maintain real-time records of dispatched and received materials in SAP/ERP systems.
• Communicate with logistics providers, drivers, and internal teams to ensure smooth loading and timely deliveries.
• Enforce safety, housekeeping, and compliance standards during material handling and dispatching.
• Support inventory cycle counts and contribute to continuous improvement of warehouse processes.

Qualifications

Qualifications & Experience

• High school diploma or diploma in logistics, supply chain, or a related field (Bachelor's degree preferred).
• 2–4 years' experience in warehouse dispatching, logistics, or materials handling.
• Knowledge of ERP/WMS systems (SAP experience preferred).
• Familiarity with dispatch documentation and warehouse safety standards.
• Strong organizational, communication, and time-management skills.

Aircraft Dispatcher:

1. Reporting

The Dispatcher will report directly to the Project Manager and/or Manager Flight Operations.

2. Flight Planning

• As per the monthly schedule, obtain the routing from the PIC and prepare the official flight plan form.
• Obtain the fuel requirements from the PIC.
• Obtain the alternate airports from the PIC.
• Prepare the Weight & Balance (W&B) for the flight(s) scheduled for the day.

3. Weather Analysis

• Review and continuously monitor weather conditions at departure, en route, and destination airports.
• Brief the crew with updated weather information prior to departure.

4. Handling Services Coordination

• Arrange handling services with Jet Aviation (domestic flights) and provide the flight plan to be filed.
• Arrange handling services with JetEx and Universal (international flights).
• Arrange fuel releases where necessary with contracted fuel suppliers.

5. Flight Following

• Track flights in real time.
• Monitor any conditions that may impact the flight (e.g., weather, airport delays, airspace restrictions).

6. Communication

• Coordinate with maintenance and operations regarding aircraft assignment for each flight.
• Liaise with pilots, ground operations, and maintenance teams.
• Coordinate with handling agents (domestic & international) for any ground services requested by maintenance.
• Relay updated information to the flight crew before departure.

7. Emergency Handling

• Assist in managing emergency handling services in the event of diversions (domestic and international).
• Support emergency response procedures as required.

8. Regulatory Compliance

• Ensure all operations comply with GACAR Part 133 dispatch requirements as specified in the General Operations Manual (GOM).

9. Delay and Disruption Management

• Assist with re-routing and rescheduling during delays or cancellations.
• Communicate changes with all departments involved.

10. Pre-Flight Documentation & Handling Arrangements

• Prepare flight plans for the day.
• Prepare W&B for all scheduled flights.
• Prepare the Flight Release for the day.
• Prepare NOTAMs and weather packages for the day's flights.
• Arrange for fuel releases with APSCO (domestic) and World Fuel (international).
• Request handling services with Jet Aviation (domestic) and with JetEx/Universal (international).
• Ensure all documents are handed over to the crew prior to departure.

11. Post-Flight Documentation

File the following documents after each flight:

• Copy of the flight plan
• Copy of the flight release
• Copy of the W&B
• Copy of the NOTAMs
• Copy of the Weather briefing package
