Job BriefThe incumbent is responsible for the timely, accurate and efficient preparation and management of the warehouse documents. They control the numbering, sorting, filing, storing and retrieval of both electronic and hard-copy documents produced by technical.
Accountabilities- Adhere to all Zahrawi Policies & Procedures as applicable.
- Warehouse Management: Maintain a log/register sheet for daily fleet activities. Ensure that the returned documents are complete and have all the paperwork attached. Check the returned document for non-delivered items and hand it over to the concerned WH Coordinator.
- Warehouse Archiving: Archiving all the documents in the warehouse. Uploading for all the POD in our system.
- Delivery Notes & Invoices: Register all outbound delivery notes and invoices. Create document progress reports on a regular basis to be sent to the Warehouse Manager. Create a weekly report with all pending invoices and delivery notes and send it to the concerned Delivery representative and Driver. Conduct regular reviews of all documents and ensure that they are stored in a safe place. Upload the invoice with the correct delivery note in the system. Hand over other documents to the concerned WH coordinator (emails/collection/Demo/Adjustment, etc.).
- Document Control Processing: Ensure that all existing document control procedures are followed as required by the Warehouse Manager and Assistant Distribution Manager. Implement new document control procedures as and when needed by the Direct Manager.
- Administration: File Delivery documents in the assigned folders as hard copies and in the shared folder, ensuring that the tracking serial numbers are valid. File all received shipment documents with related quality certificates and MOH permits. Ensure that all documents needed for daily operations are available. Ensure that all documents required for the audit are available to be sent to the concerned team.
