We are looking for an experienced Event coordinator to organize excellent events. You will be responsible for every aspect of an event, from choosing venues to evaluating success afterwards.
An event coordinator must be well-organized and competent in vendor management. Communication skills and attention to detail will set apart the best among the candidates. Add a shot of enthusiasm and passion for the job and youll be our ideal candidate.
The goal is to organize unforgettable events that will ensure the entertainment of participants and facilitate the completion of business objectives.
Responsibilities- Understand requirements for each event
- Plan event with attention to financial and time constraints
- Book venues and schedule speakers
- Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost
- Negotiate with vendors to achieve the most favorable terms
- Manage all event operations (preparing venue, invitations etc.)
- Do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards
- Oversee event happenings and act quickly to resolve problems
- Evaluate events success and submit reports
- Proven experience as event coordinator
- A proven track record of organizing successful events
- Proficient in MS Office
- Knowledge of basic recruitment practices
- Outstanding communication and negotiation ability

We’re looking for an experienced Event & Engagement Coordinator to join our team and lead the planning and execution of strategic events that engage key stakeholders, including healthcare professionals (HCPs), patient groups (PAGs), and healthcare organizations (HCOs). In this role, you will coordinate cross-functional teams to deliver high-quality, compliant, and impactful engagements across various formats — from congresses to advisory boards and speaker programs.
The Opportunity
Lead the end-to-end planning and execution of in-person, virtual, and hybrid events across therapeutic areas. Act as the main point of contact for internal stakeholders (Engagement Owners) to define needs and deliver high-impact events. Manage internal system inputs and workflows ensuring compliance and accuracy. Liaise with finance, legal, and procurement for contracts, payments, and vendor coordination. Track budgets, process payments, and ensure financial transparency and reporting. Oversee compliance processes, ensuring alignment with Roche SOPs, industry codes, and local regulations. Support vendor selection and performance management to ensure quality, cost efficiency, and delivery excellence. Provide real-time support during events to ensure seamless execution and stakeholder satisfaction. Lead post-event evaluations and reporting to drive continuous improvement and stakeholder insights.
Who You Are
Bachelor's degree in Business Administration, Event Management, or a related field. At least 3 years of experience in event or business operations, ideally in healthcare or pharma. Strong knowledge of stakeholder engagement compliance and familiarity with healthcare codes. Exceptional project management and organizational skills. Fluent in English and Arabic. Willingness to travel occasionally for onsite event support.
