Key Responsibilities / Accountabilities
- Coordinate with the Patient Services Manager in all routine and necessary matters and take charge of all basic needs related to Patient care.
- Implement Patient Services Programs which includes patient’s complaints, suggestions, unusual situations, patient and staff surveys, special patient relations projects, other promotional activities and preparation of Quality Improvement Yearly Plan and Quarterly Report.
- Provides direct supervision to the Patient Services Coordinators in the assigned area and replace or shift them as the case may be depending upon the circumstances & service needs.
- Receive and resolve complaints from the patients/Patient Service Coordinators, escalate the problem to the Patient Services Manager, if not settled.
- Attend all meetings related to the functioning of the patient services department and frame necessary policies and guidelines to ensure smooth functioning of the department.
- Coordinate Doctor Home visits as and when required with complete planning and in coordination with the concerned supervisor.
- Cover other clinics, in the absence of the respective supervisor, as and when the need arises/instructed/requested accordingly.
- Keep a strict vigil on the performance of the Patient Services Coordinator and update the management with an evaluation feedback.
- Arrange and manage the Doctor's schedules keeping in mind the patient's needs and HMG policy in coordination with Nursing (as and when necessary).
- Responsible for arranging Patient Services Coordinators clinic schedules.
- Ensure that appropriate charges are billed to the patient. Ensure that refund and/or cancellation of invoice is raised by Patient Service Coordinator by next day and sent to the Finance, duly signed by the Patient Services Manager.
- Ensure that the formalities for the procedure like patient consent, insurance clearance, availability of reports, etc., are completed.
- Brief & train the new Patient Services Coordinator staff joining his clinic as per the requirements mentioned in the guideline.
- Monitor and control the Medical representatives and visitors to the Doctor's chamber and give first priority to the patients.
- Represents as the key contact point for all the departments, requiring any transaction with the Patient Services Coordinator of the respective clinic/unit.
- Sign all the cancelled invoices of the receptionist, which are a result of mistakes committed by the receptionist, like SPAN – CASH or vice versa, wrong procedure code, wrong insurance details, etc.
- Check and ensure proper placement and presence of the complete Patient Services Coordinator staff for the clinic and ensures that all receptionists practice a sensitive and caring attitude to the patients and their family at all times.
- Check all the daily reception needs related to the office supplies, forms, etc. and the reading material / brochures in the waiting area, and ensure that the same are available.
- Collect Patient suggestions, questionnaires, and forward to the concerned department for necessary actions.
- Interact on a continuous basis with other departments by directing activities toward problem resolution.
- Monitor and review employee productivity and performance, staff development, and program implementation for patient satisfaction, efficiency, effectiveness, work priorities, and compliance with laws, rules, regulations, and standards.
- Participate in, and lead person-centered care initiatives undertaken by HMG.
- Enrich patient experience with compassion, respect and dignity.
- Perform other applicable tasks and duties assigned within the realm of his knowledge, skills and abilities.
Education/ Professional Qualification
Bachelor Degree preferably in Business Administration or related
Experience
At least four (4) years of experience in the same field. At least 2 years at senior level position

**Essential Responsibilities and Duties**:
1. Supervises daily work activities of subordinates, plans, organizes, and monitors operations of reception, scheduling and patient transport. Assigns work to subordinates, and develops and maintains the scheduling system, ensures coverage of all reception, scheduling desks and PCAs. Maintains supply order/inventorv svstem.
2. Directs and categorizes patients when required to the various sections within the Radiology Department including distribution of procedure information booklets and assisting them when needed to arrive to their further destinations throughout the Hospital.
3. Coordinates with Section Supervisors of CT/MRI, Ultrasound, X-ray, Nuclear Medicine and any other related entities regarding opening, closing and changes in Medical Imaging Services appointments.
4. Coordinates with the relevant support services representatives to organize and coordinate their radiological procedure bookings and ensuring new appointments or rescheduling is made.
5. Responds to patient inquiries and complaints by directing the issues to the concerned department and/or appropriate representative to ensure a satisfactory solution, ensuring patient satisfaction.
6. Develops and recommends new methodologies. Maintains the section policies and procedures.
7. Participates in Continuous Quality Improvement (CQI) Program, provides information and reports based on CQI indicators. Distributes and collects patient satisfaction data, relaying the feedback to the concerned sections for purpose of future improvement to better meet the patient's needs. Follows up all incident reports involvina section provides appropriate action and written response.
9.Ensures that safety procedures are implemented and practiced.
10. Carries out assigned projects, recommends new approaches, using systems management methods.
11. Ensures that senior staff of the section can handle the supervisory duty at any time.
12. Follows all Hospital related policies and procedures.
13. Participates in self and others' educational, training and development, as applicable.
14. Performs other related duties as assigned.
**Education**:
Master’s Bachelor’s Degree in Hospital Administration or other related discipline is required.
**Experience Required**:
Three (3) years of related experience including one (1) year in supervisory capacity with Master’s Degree, or five (5) years with Bachelor’s Degree required.

Summary :
The Medical Assistant role provides clinical and administrative support for patients under the direction of a Provider and/or licensed Nurse.
Responsibilities :
- Prepares patients for examination; takes and records vital signs; performs phlebotomy as needed; administers medications as directed by the Providers according to policy and procedure
- Collects data that contributes to the assessment and evaluation of individualized care and needs of assigned patients, including discharge plans, under the direction of the Licensed Nurse
- Collects, processes, and submits laboratory specimens in accordance with policy and procedure
- Communicates patient findings and pertinent information to the Provider and/or Licensed Nurse utilizing appropriate communication/documentation processes
- Accurate and timely documentation of care within EPIC system
- Performs point-of-service activities such as appointment scheduling, visit preparation, co-payment collection and patient tracking as needed
- Performs clinical duties that are department specific such as POCT, hearing and vision screenings, and any other procedures
- Performs routine task and general office duties such as faxing, copying, filing, etc. as needed
- Cleans, stocks, and prepares examination rooms
- Develops and maintains positive relationships with patients, families, and colleagues
- Follows safety policies and procedures in the delivery of care to assure a safe environment for patients, families, and other staff members

Technical Expertise
- Experience in phlebotomy is preferred.
- Knowledge of and experience in medical terminology is required.
- Experience working in healthcare environment is preferred.
- Experience working in Microsoft Office (Outlook, Excel, Word) or similar software is required.
- Experience working in electronic medical record (i.e., EPIC) or similar software is preferred.
Education and Experience
- Education: High School Diploma or equivalent is required.
- Completion of an approved (valid) Medical Assistant Program, EMT Program, or Paramedic Program is required.
- Certification:Basic Life Support (BLS) training from the American Heart Association is required.
- Certification: Medical Assistant certification preferred.
- Years of relevant experience: no experience required.
