Summary
Monitors and replenishes all pharmaceutical stock items with assurance that re-order point process is carriedout on timely manner, items reaching safety stock level are regularly expedited and alternate products/brands are professionally evaluated/accepted in coordination with Purchasing Services and the end-user to avoid critical stock situation.
Essential Responsibilities and Duties
1. Reviews stock levels and replenishment details by verfying the Average Monthly Usage (AMU), stock on hand (system/physical), and product expiry dates to ensure that re-ordering process is carried out effectively and efficiently.
2. Reviews Safety Stock and Zero Stock Reports regularly to ensure that all activities on the listed items are timely monitored and action are appropriately taken. Shares information with Assistant Head, Planning and Inventory Control for critical stocks.
3. Reviews the Excess Stock, Slow/Non-Moving Items, KFSH Short Dated, and Item Consumption Reports on a regular basis. Takes the appropriate measures i.e. update forecasting information, report excess/short-dated items to the Assistant Head, Planning and Inventory Control for necessary action.
4. Coordinates with users and suppliers for the availability of alternate brand/source and ensures that the Organization Item Window is clearly updated.
5. Coordinates with Receiving/Warehousing and concerned departments in order to accept/reject pharmaceutical items or resolve issues/problems arising from Unit of Measure (UOM), Brand change, quality, expiration date, etc.
6. Initiates/completes necessary documents to borrow or lend items from/to other institutions under Sharing Program and reports the same to the Assistant Head, Planning and Inventory Control.
7. Initiates necessary change order/revise delivery schedule requests to meet the requirements according to the increase/decrease in an item’s usage.
8. Prepares the necessary documents i.e. speed letters, stock items status information memo, and maintains copy of all correspondence in the item file.
9. Follows up on the issues reported to Supplier/Sharing Program until the excess/expiry situation is normal.
10. Participates in physical inventory/cycle counts of stock as required.
Education
Bachelor’s Degree in Pharmacy from an accredited College of Pharmacy is required.
Experience Required
Two (2) years of related experience with Bachelor’s Degree is required.
